Board of Directors Meeting

  • DATE: 2015-03-27
  • STYLE: Team Report
  • QUORUM: Yes (4 of 5 SBs present)
  • VOTES: None actioned

Attendance

  • Chair = Andrew aka Drew
  • Arch = Tom aka thpr
  • Code = James
  • Content = Andrew aka Drew
  • PR = Paul aka Nylanfs
  • Admin = Absent
  • Data 2nd = Douglas aka Distant_Scholar
  • Observer = Swiftbrook

Summary

  • Advanced Class Guide needs support from volunteers, this is the MOST asked for source book in development.
    • Douglas gave a brief report of items left to do.
  • Board brought a motion to change the frequency of the meetings to once a month and alter the time to allow for the active members to still meet - no vote after reviewing bylaws that allowed this.
  • Code and Arch need to discuss issue with "End of Line" problem in the java (Effectively blocks further development till addressed)
  • Teams have been inactive due to real life reasons. Tom expects to re-engage active development soon.
  • James to do a release over Easter weekend.
  • Discussed doing an OOC for ACG and was rejected as causing further undue work for Data (Increased JIRA bug reports for an incomplete set, no active monkey to manage, and ultimately increasing Andrew's limited workload)
  • Andrew is unavailable for next six weeks due to heavy school load - will only monitor and address SB specific items during this time. (Not specifically spelled out in raw log)
  • James is on a limited availability

Raw Log

  • [16:04] <Tom[Arch_SB]> Scheduled to start now, right?
  • [16:04] <Distant_Scholar> That's my understanding.
  • [16:05] <James[Code_SB]> Yep
  • [16:05] <[OGL]Nylanfs> <poke> @AndrewAAM
  • [16:05] <@AndrewAAM> I don't have an agenda today...
  • [16:05] <@AndrewAAM> We can wing it.
  • [16:06] *** AndrewAAM is now known as [Chair]Drew
  • [16:06] <@[Chair]Drew> *Bangs Gavel*
  • [16:06] <@[Chair]Drew> Welcome all to the Board of Directors Meeting, March 27th, 2015
  • [16:06] <@[Chair]Drew> As it's been a few missed meeting, I turn to the other ranking members on a consensus of format today
  • [16:07] <@[Chair]Drew> James, Tom, Paul?
  • [16:07] <@[Chair]Drew> Regular report or Deep Dive?
  • [16:08] <Tom[Arch_SB]> I'm not sure anyone is prepped for a deep dive
  • [16:08] <Distant_Scholar> It turns out I can't stay long at all.
  • [16:08] <Distant_Scholar> Update on Pathfinder's Advanced Class Guide:
  • [16:08] <Tom[Arch_SB]> I think we do need to cover meeting time
  • [16:08] <[OGL]Nylanfs> I'm okay with either there isn't much to report from my dept. Although there's lots of people asking about ACG
  • [16:08] <Distant_Scholar> (1) There's more work hidden in there than I thought.
  • [16:08] <James[Code_SB]> regular report is my vote
  • [16:08] <Distant_Scholar> (2) I'm through with the Hunter (first 4 of 10 classes).
  • [16:09] <Distant_Scholar> (3) Chapter 2 is only a little done.
  • [16:09] <Distant_Scholar> That is all.
  • [16:09] *** Distant_Scholar has left #pcgen
  • [16:09] <@[Chair]Drew> Okay, regular team reports
  • [16:09] <@[Chair]Drew> DS gave a quick report since he had to run.
  • [16:09] <@[Chair]Drew> We have a topic for Board meeting times
  • [16:10] <@[Chair]Drew> Let's get to the rest of the reports and then discuss meeting time. Agreed?
  • [16:10] <[OGL]Nylanfs> K
  • [16:11] <@[Chair]Drew> For Content
  • [16:11] <@[Chair]Drew> Data - Not much movement - few bug reports, not seeing any current work on ACG or anything else.
  • [16:12] <@[Chair]Drew> Docs - No updates since last meeting
  • [16:12] <@[Chair]Drew> OS - Had a patch sent in, otherwise no new activity.
  • [16:12] *** Swiftbrook has joined #pcgen
  • [16:12] <@[Chair]Drew> On a personal note, I have only a few minutes I spare a day to make sure Content is running smoothly - Jira updates, PRs reviewed/moved.
  • [16:13] <@[Chair]Drew> School has intensified and work keeps me extremely busy.
  • [16:13] <@[Chair]Drew> Any quick questions for Content?
  • [16:13] <James[Code_SB]> None from me
  • [16:14] <[OGL]Nylanfs> None from me
  • [16:14] <Tom[Arch_SB]> none here
  • [16:14] <@[Chair]Drew> For Admin - I haven't heard anything from Anestis. Other than a server upgrade that shut down a few services for a day, there isn't anything to report good, bad or indifferent.
  • [16:15] <@[Chair]Drew> James, you ready to go? (Passes talking stick to James)
  • [16:15] <James[Code_SB]> Sure
  • [16:16] <James[Code_SB]> Code has also been very quiet with real life and study taking over
  • [16:16] <James[Code_SB]> I'm planning on fixing a couple of reported bugs in the next week or so
  • [16:16] <James[Code_SB]> We are also overdue for a release
  • [16:16] <James[Code_SB]> So I might try and release an alpha over Easter
  • [16:17] <James[Code_SB]> That's all from me
  • [16:17] <@[Chair]Drew> Sounds good. Tom you ready to report?
  • [16:17] <Tom[Arch_SB]> sure
  • [16:18] <Tom[Arch_SB]> mostly quiet here as well... though I think we need to have a code type discussion on what to do with the line ending issue
  • [16:18] <James[Code_SB]> Yes that is a weird one
  • [16:18] <Tom[Arch_SB]> I am through one "busy season" so should be able to do more, so nervous about being held up by that
  • [16:20] <Tom[Arch_SB]> not sure what else to add today, any questions?
  • [16:21] <[OGL]Nylanfs> I can't think of anything
  • [16:22] <@[Chair]Drew> Paul, PR report ready to go?
  • [16:22] <[OGL]Nylanfs> Yep
  • [16:23] <[OGL]Nylanfs> Not much on the PR front, I've been scouring the net for mentions of PCGen.
  • [16:23] <[OGL]Nylanfs> Lots of people would like the ACG.
  • [16:24] <@[Chair]Drew> I'll concur, that is the MOST asked for book on every channel I monitor and handle
  • [16:24] <[OGL]Nylanfs> And it looks like we will be on schedule for getting a booth next year for GenCon.
  • [16:24] <@[Chair]Drew> I get about three requests a week for an early access to the book.
  • [16:25] <[OGL]Nylanfs> Yea I think the interest in this book has been way higher than the previous Advanced books
  • [16:25] <James[Code_SB]> Should we add an OOC data package for early access perhaps?
  • [16:25] <@[Chair]Drew> Agreed, this is on par with the APG
  • [16:25] <[OGL]Nylanfs> I have two books that I plan on clearing this weekend
  • [16:25] <[OGL]Nylanfs> Gaslight and Humans of Golarion
  • [16:26] <[OGL]Nylanfs> I asked on Gaslight if you had some info Andrew
  • [16:26] <[OGL]Nylanfs> I think that is about it from PR, any questions/comments?
  • [16:27] <Tom[Arch_SB]> not from me
  • [16:27] <@[Chair]Drew> The hold up is lack of volunteers or experienced monkeys tackling it. I don't have time personally to complete anything for the next six weeks. RE: Gaslight, Jon hasn't sent me anything, and due to mourning I haven't asked him since his Fiance' died.
  • [16:28] <@[Chair]Drew> Okay, moving on. Next topic brought up is meeting schedule
  • [16:28] <James[Code_SB]> Just before we do
  • [16:28] <@[Chair]Drew> Go ahead James
  • [16:29] <James[Code_SB]> Any thoughts on my suggestion for an OOC build for ACG? Would it be useful?
  • [16:29] <[OGL]Nylanfs> If we do a release next weekend and it isn't in it yes
  • [16:30] <[OGL]Nylanfs> People are going to want it right away
  • [16:30] <@[Chair]Drew> Not really. It's not completed, and I've been expressively asking people not to give feedback since it's IN progress.
  • [16:31] <@[Chair]Drew> Unless we have another data monkey willing to field issues or actively working the ACG, it will only add more work to my limited schedule.
  • [16:31] <James[Code_SB]> Yeah a good point
  • [16:32] <@[Chair]Drew> People are asking for Archetypes - not completed, Feats - not completed, etc. It needs data input, something we need volunteers to handle, or ask for help...
  • [16:33] <[OGL]Nylanfs> I'll get with Doug and see if there is anything I can help with, and probably put out a call for people to help.
  • [16:33] <@[Chair]Drew> Cool, thanks for handling that Paul.
  • [16:33] <@[Chair]Drew> So, technically I'm at work. I'm only home because real life called and said my work plans don't matter. :P
  • [16:33] <James[Code_SB]> Sounds good. If we had a few people contribute a couple of feats/archetypes etc each it would likely help a lot
  • [16:34] <James[Code_SB]> Ah yes I was wondering
  • [16:34] <@[Chair]Drew> Which means this day/time is completely out for me now.
  • [16:35] <@[Chair]Drew> My availability is typically any morning 6am - 11am, Off Sundays and Mondays. Normally out 2pm till 9pm
  • [16:35] <Tom[Arch_SB]> those PDT?
  • [16:35] <@[Chair]Drew> Saturdays I'm available after 6pm (Yes PDT)
  • [16:37] <[OGL]Nylanfs> Mon-Fri I'm available from 6pm EDT till 11ish, Sat and Sun I'm generally free unless I have a game on Sat which aren't regularly scheduled
  • [16:38] <@[Chair]Drew> James, your schedule?
  • [16:39] <@[Chair]Drew> So, looks like Monday is a more ideal day again with me and Paul...
  • [16:39] <James[Code_SB]> 7pm to 10pm most weekend nights (AEST) plus most times Sat or Sunday apart from Sunday evening
  • [16:40] <Tom[Arch_SB]> 1030 am ish now?
  • [16:40] <Tom[Arch_SB]> James?
  • [16:42] <@[Chair]Drew> 10pm AEST is a 4am wake up call for me, a 7am Call for East Coast
  • [16:42] <James[Code_SB]> Well DST ends next weekend , so will be 9:30
  • [16:42] <James[Code_SB]> http://www.timeanddate.com/worldclock/meetingtime.html?day=13&month=4&year=2015&p1=770&p2=57&p3=179&iv=0
  • [16:42] <James[Code_SB]> might be easier to discuss around that
  • [16:42] <Tom[Arch_SB]> wow this is tough
  • [16:43] <James[Code_SB]> Isn't it!
  • [16:43] <Tom[Arch_SB]> So 6 AM Pacific is 9 AM Eastern, is 11 PM for James
  • [16:43] <James[Code_SB]> What if you organised something that worked for the states and I'll email in submissions
  • [16:43] <@[Chair]Drew> I can manage a 5am if need be once every two weeks...
  • [16:44] <James[Code_SB]> No, I wouldn't be comfortable with that
  • [16:45] <@[Chair]Drew> I'm trying to get up early to join a garage gym that starts at 6am... so it's totally fine.
  • [16:47] <[OGL]Nylanfs> You want me to give you a wakeup call at 5 every morning to help?
  • [16:47] <Tom[Arch_SB]> lol
  • [16:47] <@[Chair]Drew> So, we're looking at a Sat 5am, 8am, Sun 10pm (PDT, EDT, AEDT)
  • [16:47] <@[Chair]Drew> Erm, Sat for all three
  • [16:48] <James[Code_SB]> What if we did that monthly?
  • [16:48] <@[Chair]Drew> Monthly is perfectly acceptable.
  • [16:48] <@[Chair]Drew> We'd have to amend the bylaws though.
  • [16:49] <James[Code_SB]> Yes that would need a vote
  • [16:49] <@[Chair]Drew> Are you asking to officially amend the Board of Directors Bylaws to be once a month James?
  • [16:50] <James[Code_SB]> Yes
  • [16:50] <@[Chair]Drew> I'll second the motion.
  • [16:50] <James[Code_SB]> Obviously only if we get the required majority
  • [16:50] <@[Chair]Drew> Please vote YAY or NAY for amending the Meeting of the Board of Directors to be once a month.
  • [16:51] <James[Code_SB]> Hold on
  • [16:51] <@[Chair]Drew> Yes?
  • [16:51] <[OGL]Nylanfs> I believe we have a quorum now don't we
  • [16:51] <@[Chair]Drew> Content, Code, Arch and PR are in attendance, that is 4 of the 5 required.
  • [16:51] <James[Code_SB]> Do we have enough here to alter the bylaws? Should this be a vote on the BoD list where everyone can be involved?
  • [16:52] <Tom[Arch_SB]> Usually a big enough change to give warning before a vote as well...
  • [16:53] <@[Chair]Drew> Oh, here it is:
  • [16:53] <Tom[Arch_SB]> Easy enough to put up on the BoD list for discussion and then vote
  • [16:53] <@[Chair]Drew> The Board of Directors shall meet at least once a month. The Chair Monkey shall announce these meetings, and how they are to be carried out, to the Board at least one week in advance. If any items before the Board are to be voted on, a quorum (50% + 1) of the Board shall be present at the meeting. If a quorum does not prevail, then no voting can take place. A log of the Board meetings shall be kept for posterity. The log of the Board meeting shall be provided to the PCGen volunteers so that they may see what is going with the group.
  • [16:53] <[OGL]Nylanfs> We can take a vote and give the rest of the Bod a week to respond, also we could put it out to the rest of the user base also
  • [16:53] <Tom[Arch_SB]> no change needed then
  • [16:53] <James[Code_SB]> indeed
  • [16:53] <@[Chair]Drew> We already have a monthly meeting spelled out. Correct.
  • [16:53] <@[Chair]Drew> Oh, and for clarification:
  • [16:53] <@[Chair]Drew> Amending these Bylaws, increasing/decreasing the size of the board and disciplining a volunteer in PCGen shall require a major (2/3) majority. The Chair Monkey will vote in the case of a tie and the Benevolent Dictator has the power of Veto.
  • [16:54] *** Distant_Scholar has joined #pcgen
  • [16:54] <@[Chair]Drew> Okay, no vote, any other business?
  • [16:54] <[OGL]Nylanfs> And Doug can vote too
  • [16:54] <[OGL]Nylanfs> at least on the time
  • [16:54] <Distant_Scholar> I vote potato!
  • [16:55] <@[Chair]Drew> I know Tom wanted to discuss with James the code line endings hold up issue.
  • [16:56] <@[Chair]Drew> I need to take off in a few minutes though... Can someone post the meeting time proposals to the board list to let the others weigh in.
  • [16:56] <James[Code_SB]> Will do
  • [16:57] <@[Chair]Drew> Thanks James. If we have no other Board business I'll close the meeting out. And then Tom and James can discuss the code issue after - time permitting of course.
  • [16:58] <@[Chair]Drew> Last chance to speak up...
  • [16:59] <@[Chair]Drew> *Bangs gavel* Thanks for coming everyone. Meeting is adjourned.
